Use this checklist before and during move-out so the deposit dispute does not become a guessing game later.
Before you leave
- Confirm the move-out or tenancy termination date in writing.
- Save a copy of the lease and deposit amount.
- Save the date the deposit was paid and any receipt or deposit terms.
- Give your current mailing address or contact information in writing.
- Ask how the owner wants keys, fobs, parking passes, or access devices returned.
- Keep any inspection notice or inspection communication.

D.C. rules allow a move-out inspection within three days before or after termination, excluding Saturdays, Sundays, and holidays.
If the owner intends to inspect, the notice should be in writing, state the inspection date and time, and be delivered at least 10 days before the intended inspection. Save the notice and document whether the inspection happened at the noticed time.
Document condition
- Take wide photos and close-up photos of every room.
- Record a slow walkthrough video.
- Photograph appliances, floors, walls, bathrooms, windows, and doors.
- Save cleaning receipts or repair receipts if you have them.
- Keep move-in condition proof for comparison.
- Photograph or save proof of any preexisting, age-related, obsolete, or deteriorated conditions.
Return possession clearly
- Return keys or access devices in a documented way.
- Send a short message confirming possession was returned.
- Save email, text, portal messages, receipts, and screenshots.
Track money and interest
- Save the deposit receipt or bank record.
- Keep rent amount proof for the one-month-cap issue.
- Save escrow, rate, or posted interest information if you have it.
- Keep any refund check, electronic payment, interest explanation, or deduction accounting.
Watch the D.C. timing
After the tenancy ends or you vacate, the owner generally has 45 days to return the deposit with interest or send written notice of intent to withhold. If withholding is claimed, the itemized statement and any remaining balance should follow within 30 more days.
